Enterprise Knowledge AI and RAG

Ask your documents. Get answers with sources.

Policies, manuals, contracts and help articles are full of answers people cannot find. We build AI search and knowledge assistants that read your approved content, answer in plain language, show where each answer came from, and only reveal what each person is allowed to see.

Can a contractor access the client portal, and who approves it?

Yes, with a time-limited account. Access must be approved by the project lead and IT security, and is reviewed every 30 days.

  • Access Control Policy · section 3.2
  • Contractor Onboarding SOP · step 5

Answered only from documents this user is permitted to read

Illustrative example. Policy names and answer are invented to show the pattern.

Retrieval augmented generation, explained

The model does not memorise your files. It looks them up.

With RAG, the AI first searches your approved documents for relevant passages, then writes an answer using only those passages. That is what makes citations and permission checks possible.

  1. 1. Connect sources

SharePoint, Drive, wikis, PDFs, help centre

  2. 2. Prepare and index

Split into passages, tag owner and access

  3. 3. Ask

A person asks in their own words

  4. 4. Retrieve with permissions

Only passages this person may see

  5. 5. Answer with citations

    Plain-language answer, linked sources

  6. 6. Evaluate

Test sets, feedback and source gaps

Where knowledge AI helps

Five teams that ask the same questions every week.

The best first project is a team that answers repetitive questions from documents that already exist. These are the patterns we see most often.

HR and people teams

Leave, benefits, travel and expense questions answered from the current handbook.

Customer support

Agents find the right answer and article in seconds, with the source to share.

Sales enablement

Product specs, pricing rules and approved messaging at a sales rep's fingertips.

Compliance and SOPs

Staff check the correct procedure before they act, with the clause cited.

Field and technical teams

Manuals and troubleshooting guides searchable on a phone, on site.

Internal AI search

One search box across scattered drives and wikis, ranked by meaning, not just keywords.

Example use cases, not client deployments.

Content readiness

An assistant is only as good as the documents behind it.

Tick what is true for the content you have in mind. Nothing is sent anywhere; it shows where a project would start.

0 of 5 in place

Start with a content clean-up: pick one trusted source and retire outdated copies. We can help map it.

A good fit for a pilot on one team's documents, fixing gaps as the assistant reveals them.

Ready for a production design with permissions, citations and an evaluation set.

Accuracy and testing

How we keep answers honest after launch day.

RAG reduces made-up answers; it does not remove them. These controls are built in from the first version.

Evaluation set

Real questions with agreed correct answers, rerun after every change.

Citations required

Every answer links the passages it used, so people can check.

"I don't know"

When sources do not cover a question, the assistant says so.

Feedback loop

Thumbs-down answers become test cases and content fixes.

Where it lives

Put answers where people already work.

A knowledge assistant nobody opens is wasted. We place it inside the tools your team uses every day, signed in with the accounts they already have.

  • Microsoft Teams
  • Slack
  • Intranet or web app
  • Help centre search
  • Inside your CRM or help desk
  • As a tool for AI agents

Questions

Enterprise knowledge AI: questions IT and operations ask

Not with the setups we recommend. We use business API terms from model providers that do not train on your data, or self-hosted models where required. Your documents are searched at question time, not baked into the model.

The assistant checks permissions before it retrieves anything, using the access rules from your document systems or single sign-on. If a person cannot open a file, the assistant cannot use it to answer them.

Word, PDF, web pages, wikis, help-centre articles and spreadsheets are common. Scanned PDFs need text extraction first, and complex tables may need extra preparation, which we assess with samples.

A website chatbot talks to customers about a limited topic. Enterprise knowledge AI is usually internal, covers large document sets, enforces permissions and must cite sources. For customer conversations, see Conversational AI.

Sources are re-indexed on a schedule or when files change, so answers follow the current version. Owners can see which documents are cited most and which questions have no good source.

Start with one team

Which team asks the same questions every day? Start there.

Tell us which documents and systems hold the answers, who needs them and any security requirements. We will suggest a scoped pilot and how to measure it.
