AI Automation and Business Process Automation

Automate the busywork between your systems.

Copying data between tools, chasing approvals, keying in invoices, sending the same updates. We build n8n, Zapier, Make.com and custom workflows that handle it, with AI steps where the input is messy and checks where mistakes would cost you.

Choosing what to automate

Two questions sort every process.

How often does it happen, and how predictable is it? Frequent, rule-based work is the cheapest to automate and the safest. AI earns its place when the work is frequent but the input is unstructured: emails, PDFs, free-text forms.

  • Automate fully. Lead routing, order sync, status notifications, scheduled reports.
  • Automate with an AI step. Invoice capture, enquiry triage, CV screening summaries, email categorisation.
  • Template it. Rare but rule-based work: onboarding checklists, year-end exports.
  • Keep it human. Rare, high-judgement work such as negotiations or disputes.

Know your baseline

How many hours does this task take today?

Before automating anything we measure the current effort, so you can judge the result against facts. Try it with one task your team repeats every week.

This shows your current effort only. How much of it automation can remove depends on the process, exceptions and data quality, which we assess in discovery.

Choosing a platform

n8n, Zapier, Make.com or custom code?

We are not tied to any platform. The right choice depends on who will maintain the workflow, how sensitive the data is, the volume, and how complex the logic gets.

Comparison of n8n, Zapier, Make.com and custom code for workflow automation
Platform Where it runs Best suited to How cost scales Who maintains it
n8n Self-hosted or n8n cloudComplex logic, code steps, AI agent nodes, data that should stay on your serversMostly per workflow execution on cloud; your own server costs if self-hostedTechnical teams, or with our support
Zapier Zapier cloudQuick, linear automations across a very wide range of SaaS appsPer task, so costs rise with every step that runsNon-technical teams can edit simple Zaps
Make.com Make cloudVisual scenarios with branches, loops and detailed data mappingPer operation or credit, usually lower per step than ZapierOps teams comfortable with a visual builder
Custom code Your cloud or serversHigh volume, strict security, unusual systems or logic no platform handles wellBuild effort up front, then hosting; no per-run platform feeDevelopers, documented in your repository

Summary for orientation only. Vendors change plans and pricing often; we check current terms against your volumes before recommending. Platform names are trademarks of their owners and do not imply a partnership. We also work with Microsoft Power Automate where Microsoft 365 is your standard.

Workflow blueprints

Five automations most businesses ask for first.

Illustrative blueprints, not client deployments. Each shows where the AI step sits, where rules check its work, and where a person stays involved.

CRM automation

Every enquiry reaches the right salesperson with context, and nothing goes cold.

Illustrative blueprint
  1. 1 · Trigger

Web form, email or WhatsApp enquiry

Intelligent document processing

From PDF in the inbox to a checked entry in your system.

Invoices, purchase orders, delivery notes, application forms and KYC documents all follow the same pipeline. The key design choice is the confidence threshold that decides what a person needs to see.

  1. 1. Intake

    Email, upload, scan or API

  2. 2. Read

Text extraction and OCR for scans

  3. 3. Extract

AI pulls fields and line items

  4. 4. Validate

Totals, formats, PO and supplier match

  5. 5. Review

    Low-confidence fields to a person

  6. 6. Post

    Entry created, file archived

Threshold: 90% confidence

Fields above the threshold pass straight through. Anything below it, or any total that does not add up, stops for review. We set the threshold with your finance or ops lead and adjust it from real results.

Example document and scores are illustrative.

INV-2291 · Supplier invoiceExtracted fields
  • Supplier Example Traders Pvt Ltd Pass
  • Invoice date 14 Oct Pass
  • PO number PO-7710 Pass
  • Tax ID Partly illegible Review
  • Total ₹48,260.00 Pass

Result: held for review because one field is below threshold. A person checks one field, not the whole invoice.

Automation that keeps working

Most automations break quietly. Ours tell you.

Building the happy path is quick. The real engineering is in what happens when an API is down, a supplier changes their invoice layout, or the person who built the Zap leaves.

A connected app is down or rate-limited

Automatic retries with back-off, a queue so nothing is lost, and an alert if it is still failing.

The same event fires twice

Duplicate checks so a customer is not emailed twice and an order is not created twice.

The AI is not sure

Confidence thresholds send the item to a review queue instead of guessing.

A form or file format changes

Input validation catches unexpected data and alerts the owner before bad records spread.

Volume suddenly spikes

Batching and limits keep platform costs and API quotas under control.

The person who built it leaves

Workflows live in your accounts, with a runbook, naming conventions and a named owner.

How we engage

Audit, build, then run. You own everything.

01

Automation audit

We sit with the people who do the work, list the repetitive tasks, measure current effort and score each on the matrix above.

You receive

  • Ranked automation backlog
  • Baseline effort per process
  • Platform recommendation
02

Build in small releases

One workflow at a time, tested with real records in a safe copy before it touches live data, then switched on in stages.

You receive

  • Working workflows in your accounts
  • Test cases and sample data
  • Alerting to your chosen channel
03

Run and improve

We monitor runs, fix what breaks, tune AI steps and thresholds, and add the next item from the backlog when you are ready.

You receive

  • Monthly run and error report
  • Runbook and handover docs
  • Optional ongoing support

Need the workflow to decide its own next step? That is where an agent fits better than a fixed workflow.

Questions

AI automation: practical questions

Usually yes, in your own name, so you keep control of the account and the workflows. Self-hosted n8n avoids per-run platform fees but needs a server, which we can set up and maintain. We size the plan against your expected volume before you buy.

Yes. We start with a review of what exists, document it, fix failing steps and add error handling and alerts. Sometimes consolidating several fragile Zaps into one well-built workflow is cheaper to run.

It depends on the document and the provider. We agree which model providers and regions are acceptable, use business API terms rather than consumer apps, avoid sending fields the step does not need, and can use self-hosted options where required.

Input validation and alerts flag it quickly, and the runbook shows which workflows depend on which apps. Under a support arrangement we update the affected steps; otherwise your team has what it needs to do it.

Often. If a system has a database, file export, email output or any API, we can usually connect to it, sometimes through a small custom connector. Screen-scraping is a last resort because it breaks easily.

Power Automate is a strong option when most of the process lives in Outlook, SharePoint, Teams and Dynamics. For processes that span many non-Microsoft tools, n8n or Make.com can be simpler. We compare both for your case.
